  • Home/facility details

B. Referral & Resident Information

  • Basic demographic information
  • Care needs summaries
  • Mobility and assistance notes
  • Emergency contact details

C. Usage Information

  • Logins
  • Actions taken in the Platform
  • IP address and device information

2. How We Use Information

We use information to:

  • Operate and improve the Platform
  • Route referral inquiries
  • Support internal home operations
  • Maintain security and prevent abuse

3. Data Minimization

We encourage users to:

  • Upload only information necessary for placement and daily care
  • Avoid sensitive identifiers such as SSNs or insurance IDs

4. HIPAA Clarification

The Platform is not currently a HIPAA-regulated service.

Bed Tally does not currently act as a Business Associate and does not currently sign Business Associate Agreements (BAAs). BAA capability is on our roadmap; until we provide written confirmation that a BAA has been executed with you, please do not upload, enter, or transmit Protected Health Information (PHI) through the Platform.

We will update this section if and when our HIPAA posture changes. See our Terms of Service for the corresponding terms commitment.

5. Data Sharing

We do not sell personal data.

We may share data:

  • With service providers (hosting, email, security) under confidentiality agreements
  • When required by law
  • To protect platform integrity and safety

6. Data Retention

Unless otherwise requested or required:

  • Declined or withdrawn referral data: retained up to 90 days
  • Admitted resident data: retained up to 1 year
  • Audit logs: retained at least 1 year

7. Security Measures

We use reasonable safeguards including:

  • Encryption at rest and in transit
  • Access controls
  • Audit logging

8. Your Choices

You may:

  • Request access or correction of your data
  • Request deletion, subject to operational and legal limits

9. Changes to This Policy

We may update this Privacy Policy. Material changes will be posted with an updated date.
